Privacy information
How Wrestling Manager handles information in the current beta.
Product company: Mele Sports Technologies LLC · The Team Manager / Wrestling Manager. For privacy questions, contact support@theteammanager.app.
Information used by the app
Depending on the features you use, information may include account and contact details, profile photos, birthdays, guardian relationships, school or grade, clothing sizes, team memberships and roles; weights and weigh-ins; attendance, events, challenges and scored matches; messages and attachments; medical or clearance documents; sports membership numbers, expiration dates, membership cards and athlete or staff credentials; officials' assignments, budgets, signed forms and feedback.
You, a connected guardian or authorized team staff may provide information. The app can also receive a connected scale reading or scan an athlete credential. Account, session and notification-device identifiers and service logs help operate and protect the service.
Why it is used
Information supports sign-in, family connections, team access, rosters, calendars, wrestling records, permitted communications and notifications, safety review, troubleshooting and feedback.
Who can access it
Access depends on assigned roles, teams, divisions, family connections and feature permissions. Coaches and administrators have access for their authorized responsibilities. Shared Team Device and Test Athlete logins have limited access.
Authorized organization operations roles can access relevant roster information and guardian phone numbers for teams managed by their organization, within their assigned scope, even when ordinary coach contact sharing is turned off. That operations roster excludes athlete phone numbers and email addresses, private weight history and medical documents.
An independent team can approve an affiliation with another organization for membership support. Authorized membership-support staff can then see athlete names, sports membership numbers, expiration dates, membership status, uploaded membership cards and recorded credentials. This affiliation does not itself give access to guardian contacts, private weight history, medical records or team administration. Removing the affiliation ends that affiliation-based access.
Membership cards are stored privately. Membership and credential review labels record a person's review; they do not indicate an automatic check against USA Wrestling or another credential provider.
Messages and attachments are visible to permitted recipients and, when safety rules apply, connected guardians and authorized safety reviewers. Information published to affiliated clubs is visible to the relevant clubs. Anyone with a calendar subscription link may be able to read the events it contains; keep the link private.
Shared wrestling profiles and family invitations
Profile discovery starts off. Approved shared fields may include a profile picture, wrestling roles, age division, tournament history and a music link. Following a profile does not grant messaging access or access to private team records. The outside-view preview shows shared member visibility; separately authorized team and family access can differ.
Family invitations must be claimed by a signed-in account and approved by the profile manager. Approved relatives receive view-only access to the selected shared profile fields and/or individually selected upcoming events, including event times and location names. Family access alone does not grant weights, medical documents, guardian authority, team administration or messaging. Newly created events are not automatically shared. Revoking access prevents future requests but cannot recall information already viewed; an issued profile-photo link can last up to 60 seconds.
Parent choices without an account
For a coach-verified athlete aged 13–17, a parent or legal guardian can use a private email link to approve routine shared-profile edits without creating an account. Photo changes are a separate choice. This does not delegate name, contact, visibility, medical or team-record changes, or turn off messaging safeguards. Existing parent accounts keep their controls.
We record the verified guardian email, athlete and team connection, birth date used to confirm eligibility, staff verification, permission choices, notice version, timestamps and receipt. Supabase processes these records and Resend delivers private invitation and management links. Approval links expire within seven days and management links within one hour; opening a link does not approve anything. Keep the links private.
You can request a fresh management link to review or withdraw browser permission. Withdrawal applies to future edits and does not undo already saved changes or erase the receipt. To change the choices, withdraw permission and ask the coach for a new invitation. These choices do not replace consent required for children under 13 or other legally required permissions. Contact support for access, correction or deletion requests about these records.
Parents of verified athletes aged 13–17 can separately approve team messaging through their private email link, select an accepted adult reviewer, and optionally allow message photos/videos. Each message includes the reviewer alongside a different authorized adult. This does not grant private peer/profile chats or guardian powers. Parents can withdraw messaging permission through a fresh email management link. Reviewer or verification changes pause messaging under that permission.
Optional adult conversation reviewers
A team administrator can assign a verified adult staff member, such as Team Mom, to read-only review of that team’s coach or team-leader conversations with minors. The adult must accept the responsibility in their own account. Covered conversation members can see the active reviewers’ names and team roles. Reviewer access includes existing and future messages and shared photos or videos in those conversations; adult-only and athlete-to-athlete private conversations are excluded.
Reviewer access creates no routine message notifications, does not add posting or parental authority, and does not replace required parent chat permission. Existing parent and participant notification settings remain separate. Assignments, acceptance, removal and conversation access are recorded for accountability. Team administrators can remove the assignment, and reviewers can stop their own access. Review history is not saved for offline use. Removal prevents new requests; media links issued for review can remain usable for up to 60 seconds, and information already viewed cannot be recalled.
Team Trainer and Athlete Health
Assigned adult trainers who accept the responsibility can record baseline completion, participation restrictions and authorized clearance. Testing happens in Sway or the school’s provider; this version does not retrieve Sway scores or make medical decisions. Coaches see baseline completion, participation updates and their own submissions. Private care notes and photos are limited to accepted team trainers, authorized connected family and the submitting account.
Connected guardians can approve health updates for athletes aged 13–17, with a separate photo/document choice, and withdraw permission in the health record. General profile or messaging approval does not grant this permission. Younger athletes use the parent or trainer submission path. The app records permission changes, trainer verification, decisions and record/file access. Clinical records are not available offline; downloaded copies cannot be recalled. Protected medical records require review before account deletion or athlete merging. Contact support for correction, access or retention questions.
New care updates, participation decisions and completed private attachments create generic in-app notices for other currently authorized recipients. Notices contain no clinical note, diagnosis, photo or athlete name; opening one checks your current access and goes to the specific concern/update. The trainer chooses a private family/care update or an explicitly coach-shared participation update. Earlier private notes and attachments are not made public by a later shared update. Reading a notice is not a care decision. This release does not send health-specific lock-screen alert pushes, email or SMS. Existing device badge synchronization may include eligible unread care notices; a badge is not proof an alert was delivered. Urgent concerns require direct contact.
Services that handle information
- Supabase handles accounts, the database, stored files and backend processing.
- GitHub Pages delivers the web app, including its bundled client library. Requests to hosting services include technical information such as an IP address. This disclosure does not establish the retention period of hosting logs.
- Resend delivers enabled app emails and receives the recipient address and email content.
- Apple delivers enabled iPhone/iPad push notifications using device tokens and alert content. Depending on notification choices, weigh-in alerts can include an athlete's name and weight on the device's lock screen.
- Google Workspace handles messages you choose to send to our support email address.
- Apple and Render support subscription verification. Apple processes in-app purchases. Our verifier on Render checks Apple-signed transaction and notification evidence, including product and transaction identifiers, subscription status, dates and an app account token used to associate a purchase with the correct account. Supabase stores purchase delivery and access records and the selected team binding. The verifier does not receive athlete photos, messages or medical records.
SMS delivery is not an advertised release-ready feature in this beta. The provider inventory must be reviewed before additional communication services are enabled.
Customer purchases are currently disabled. Short-lived, designated Apple Sandbox testing does not create a production subscription. Purchasing a plan never grants a new team role, guardian authority or private health access.
Device permissions and local data
Camera, photo, Bluetooth and notification permissions support the features you choose to use. You can change device permissions in device Settings. The app also keeps sign-in preferences, settings and unfinished match recovery information locally on your device. Some supported features keep account-scoped drafts, queued work or pilot recordings on the device. Not every feature works offline; clinical records and adult-reviewer history are not available as an offline cache. A saved or exported device copy is separate from any server record.
Retention and account deletion
A season ending does not automatically erase its records. Membership and season dates are separate from data-retention rules. Signing out, uninstalling the app or leaving a team does not by itself delete stored account or athlete information.
Open My Account → Account deletion to check the actions available to your signed-in account. The server checks your authority, the selected scope and any records requiring additional review before deletion starts. The account-deletion service is deployed; interruption recovery, local-media cleanup and preservation of other accounts still need acceptance on the matching native release. An accepted interrupted request must resume its original request. A failed sign-in alone is not proof of completed cleanup.
For an access, correction or deletion request that is not available through your current controls, contact support so the requesting person, authority and scope can be verified. Sending an email does not complete deletion. The final release must provide a tested in-app initiation path for account holders, clear completion timing, and accurate retention details; this beta contact route is not a substitute for that work.
A season or membership period is not a retention schedule. Purpose-specific retention periods for records, files, logs and backups, and any legally required exceptions, remain to be finalized. We do not claim that all records are erased immediately or that shared team records are automatically exempt. Copies already exported to Photos or Files, other devices, and information previously viewed by recipients require separate handling.
Account deletion does not cancel an Apple subscription. Manage or cancel it in your Apple subscription settings. Deletion availability does not depend on waiting for the subscription to end.
A request to remove a guardian's account is different from a request about a child's records. A child's profile may be shared with another guardian or multiple teams; the appropriate authority and scope must be verified.
Younger athletes and guardian authority
Family links, profile approvals, messaging choices and health-photo choices are separate permissions. An adult reviewer is not automatically a legal guardian, and an App Store age rating does not establish consent to collect a child’s information. Existing parent or trainer submission tools do not by themselves establish the required younger-child consent process. Parent-led notice, verification, review, withdrawal and child-data handling must be completed before collecting personal information from younger children through the pilot. Use fictional records for younger-athlete tests until the required process is complete.
Your choices and questions
You can edit permitted profile information and adjust available contact-sharing, notification and guardian communication settings. Team access and guardian chat controls do not replace any consent needed for collecting a younger child's information; younger-athlete enrollment arrangements must be finalized before the pilot.
